Sourcing a spare part: start with the number you really have

The machine is standing still while you look, so the number in your hand is not a detail — it is the afternoon of enquiries you have already booked. Five minutes on which number it actually is saves that afternoon.

The number in your hand is probably not the number you need

The component is out, a code is stamped into it, and the search returns nothing. Very often that code belongs to the machine builder rather than to the company that actually made the part — and the original is usually cheaper, more widely stocked and better documented.

The machine plate is the way back. Under Annex I, section 1.7.3 of the Machinery Directive 2006/42/EC it must carry the maker and address, the designation, the CE marking, the type designation with the serial number and the year of construction. The last pair fixes the design state, and the design state fixes which parts list applies at all.

One identifier regularly costs an afternoon: a serial number is not an ordering identifier. Exactly one specimen exists and it has already been delivered.

  • Look for a second marking on the component itself — moulded, etched or a small plate
  • All 114 items here carry a part number on the variant, and the search reads it directly
  • A search for 1.4404 returns five hits, PT100 two, 316L two

The order that works

Five attempts, sorted by probability of a hit

Each step is worth trying before the next one, because each is more specific than the one after it.

  1. The component manufacturer’s part number

    Read from the component itself, not from the machine. This is the single most reliable key in industrial supply, and it is the one our search index matches without any interpretation.

  2. The pairing of manufacturer and number

    The same string can mean two completely different things at two manufacturers. A number without a manufacturer is half a key. If you have both, you have the strongest search you will get.

  3. Machine type, year and parts list

    Where the component carries nothing readable, go back to the machine plate. Type designation and year of construction lead to the parts list for that design state; the position number in that list leads back to a manufacturer part number.

  4. Dimensions, material and function

    For seals, bellows, sight glasses and filter elements this often works better than any number. Measure the fitted part rather than the seat, note the material and the medium, and search on those.

  5. Ask with a photograph and the mating part

    The last resort is also the most underrated. A picture of the failed component next to a scale, plus what it seals against or screws into, resolves cases that no number resolves. Our contact form has a product topic for exactly this.

What really costs the week

In most delayed cases the bottleneck was a document, not a part

An inspection certificate 3.1 under EN 10204 rests on tests tied to a specific order. Ask for it after manufacture and it can no longer be issued for the batch you have. The part then sits in goods-in waiting for a release, and nobody involved made a mistake.

Deciding on the paperwork at enquiry stage costs one sentence. Here the answer is short: no item is supplied with an inspection document today, and shukchok, an open marketplace for industrial goods, is exactly where that changes — whoever issues those certificates lists here and keeps them on the item.

The second recurring delay is the stocking decision. Critical spares consume irregularly by definition, which makes every consumption-based forecast worthless for them.

  • Decide on certificates before manufacture, never at goods-in
  • Stock against replacement lead time and cost of standing still, not against last year’s usage
  • Wear parts with a known mechanism belong on the shelf even at an unimpressive annual figure

What each identifier actually identifies

They are routinely used interchangeably, and they are not interchangeable at all. The last column is the one that matters when a machine is down.

One correction worth having: a GS1 prefix in the 400–440 range does not mean the product comes from Germany. It only means the number was issued by the German GS1 member organisation. Country of origin is a separate field and a separate legal question.

Eight details that turn an enquiry into an answer

With these in front of you the reply usually comes in one round. Without them it becomes a conversation.

  • Manufacturer and type designation of the machine, from the type plate
  • Year of construction and machine serial number — they fix the design state
  • Every marking on the failed component, including numbers that look like the machine builder’s
  • Measured dimensions of the fitted part, not of its seat
  • Medium, operating temperature and pressure the part has to survive
  • A photograph of the component and of what it mates with
  • Quantity now and expected annual usage — that changes what makes sense to source
  • Whether a certificate is required, decided before rather than after manufacture

I only have one number — how do I find the matching part?
Try it in the search first; our index matches part numbers directly. If there is no hit, the number is probably the machine builder’s rather than the component manufacturer’s. Then go via the machine: type designation and year of construction lead to the parts list, and the parts list leads back to a manufacturer part number.
Is the number on the component the manufacturer’s or the machine builder’s?
Often the machine builder’s. Look for a second marking on the component itself — moulded, etched or on a small separate plate. The component manufacturer’s original is usually easier to obtain and better documented than the same part under a machine label.
Can I search by GTIN or barcode here?
No, and it would not help. No item in this catalogue carries a barcode and only one carries a GTIN in a metafield. In industrial supply the reliable key is the pair of manufacturer and part number, which every one of the 114 items does carry.
What do I do if the part is no longer made?
That is a different problem with its own vocabulary and its own timing, from last-time-buy windows to form-fit-function replacements. We have a separate page on obsolete parts that goes through it.
May I fit a part from a different manufacturer?
Technically often yes, but two cases say no. In equipment with an Ex approval the certificate covers the named components, and a dimensionally identical substitute is a modification. In safety functions — interlocks, level limit switches, relief devices — the replacement has to be functionally equivalent, not merely a fit.
We make wear parts ourselves. Can we offer them here?
Yes, and that is the point of a marketplace rather than a single range: manufacturers and distributors list their own articles, keep control of their prices and stay named on every position. There is no listing fee, no monthly fee and no manual product release — an article goes live once its technical data is complete enough to be compared.
